How to organize your OnlyFans vault when you run several pages

When you manage more than one OnlyFans page, the vault fills up fast. Photos, videos and audio from shoots, messages and stories all end up in the same place, and finding the right file before a post or a mass message can take longer than creating the content.

The fix is not a clever tool. It is a few habits, applied the same way every time. Here is a system that holds up at thousands of files and across several accounts.

Think in two layers

Most creators who stay organized keep two things in order:

  1. Your own library on a computer or drive: originals, edited files, shoot folders
  2. The vault inside each account: what you actually use to post and send

The vault is for what you will use. Your own library is for everything else, including the clean originals. Keeping both in the same structure makes it easy to move media between them.

Use lists for purpose, not for dates

Lists work best when each one answers "what will I use this for?":

  • Ready to post: edited media you plan to publish soon
  • PPV: content reserved for paid messages
  • Requests: custom content for specific fans
  • Archive: older media you want to keep but rarely use

Dates are already stored with every item, so a list per month usually just adds clutter. Avoid very long lists of one-off categories, which become hard to scan.

You cannot tag every item in the vault the way you can on your own computer, so the names and folders in your own library do a lot of work. A pattern that scales:

Date, outfit or scene, setup, and a number. Whatever fields you choose, use the same ones every time. If you work with collaborators, put their name in the file name or folder so you can find shared content later.

Track what has already been used

The most common complaint from creators is not remembering what has already been sent. Two simple fixes:

  • Keep "edited" and "already posted" folders in your own library, and move a file when it is used
  • Or keep a spreadsheet with one row per file: name, list, date used, notes

Do it at the moment you send something, not at the end of the week.

Keep the same lists on every account

If you run several pages, give the same lists the same names on every account. Then "PPV" means the same thing everywhere, and copying a clip from one page to another goes into the right place without thinking about it.

A monthly cleanup routine

Block 30 minutes once a month:

  1. Delete duplicates and rough cuts
  2. Remove media from lists it no longer belongs in
  3. Move finished items into your archive list
  4. Back up anything new (see how to back up your OnlyFans vault)

Deleting from a vault is permanent, so do it after the backup, not before.

Doing this across several accounts

The manual version of all of this means logging in and out of every account. OnlyVault is a desktop app that binds all your creator accounts in one window, so you can:

  • Browse each account's vault and lists in one place
  • Select hundreds of items and delete them or remove them from a list, with a confirmation first
  • Copy media between accounts, into a list of the same name, created for you if it does not exist
  • Upload a folder straight into the list you choose (see how to upload media straight to your OnlyFans vault)

Your login stays on your computer: you sign in on the platform's own website inside the app, and the session is stored encrypted on your device.

FAQ

How many lists should I have?

As few as you can get away with. Four to six lists by purpose is enough for most creators.

Should I organize by date?

Usually not inside the vault, because items already carry their dates. Use dates in file names in your own library instead.

How do I find a clip that I made with a collaborator?

Put the collaborator's name in the file name or folder in your own library. That is easier to search than the vault itself.

Is it safe to clean up the vault?

Deleting from the vault is permanent. Back up first, then clean up. OnlyVault asks for confirmation before any deletion, and for large deletions you type the account username to confirm.
